Planning a staff uniform order

Choose the pieces for each role, collect sizes against the actual styles, and keep the approved details for reorders. A practical guide to staff uniforms.

A staff uniform order needs a few decisions you can use again: which garments each role wears, which design goes on them, and how you will collect sizes. Write those down before the order becomes a list of individual requests.

Your team can have a consistent look across different pieces. A printed tee, an embroidered polo and a cap can belong in the same plan. We will review the garment, artwork and decoration details for each part of the order.

Give each role a short garment list

Start with what people wear during the job. Consider movement, pockets, layering, appearance and any required dress-code details. Keep the choices manageable enough that someone can repeat the order later.

A simple planning sheet can look like this. These are example roles and choices to discuss, not a prescribed uniform package.

Role

Piece to review

Decision to confirm

Counter or shop staff

Tee, with a cap if needed

Approved color, fit and logo placement

Customer appointments

Polo or another suitable shirt

Preferred finish and garment care

Crew moving between jobs

Tee or long sleeve

Movement, layers and required workwear details

If you need help comparing garments, send the job description with the request. There is no need to choose a fabric from a vague “best work shirt” label. We can review the actual styles you are considering.

Confirm fit before collecting the final count

Ask each person to check the size information for the selected style and choose their preferred fit. Keep the style reference beside the size; a Medium alone does not identify the garment.

Collect the same fields for every part of the order:

  • Role or group.

  • Brand/style reference and garment color.

  • Fit or cut, plus the requested sizes and quantities.

  • Approved artwork and its print or stitch location.

  • Any decision that still needs our review.

Choose how many pieces each person needs for the way your team works and washes its uniforms. List reserve garments separately. That makes it easier to compare the immediate need with extras for replacements or new staff.

Match the decoration to the actual pieces

We offer screen printing, DTF printing applied to apparel, and embroidery for hats, polos and crew apparel. Send the design and placement with the garment choice so we can confirm a suitable method and price.

Our screen printing minimum is 36 pieces per design. Compatible styles and sizes may share a print group when the setup stays the same. If the artwork, size, placement or ink colors change between roles, flag that before we count the group together.

For a smaller staff order, ask about DTF apparel printing. We will review the quantity you actually need. Embroidery has its own garment and artwork considerations, which we confirm with the quote.

Keep an approved uniform record for reorders

After the order is agreed, save the garment style, color, artwork version, decoration size and location, and the order reference. Keep the size breakdown too, while allowing staff to update their choices when needed.

A reorder note can be short: “Please review a replacement order against [order reference]. We need [sizes and quantities]. The logo is unchanged; the garment style and availability need checking.”

Send small top-ups as their own request. We will confirm the method, current garment availability, price and timing. Reusing an old logo does not by itself confirm that a new order will have the same terms.

Put one person in charge of approval

Let staff contribute to the choices, then have one contact send the final garment list and artwork feedback. Check the mockup against that list before approving it, including the spelling in the shared design, placement, colors and quantities.

Standard screen printing production takes 10–14 business days after mockup approval and payment. Allow time before that for garment selection and staff decisions. We confirm timing for DTF and embroidery with the specific order.

If you need a shorter schedule, ask us to confirm availability, the completion date and any rush fee. Pickup is by arrangement, with no walk-in storefront. We offer free delivery in St. Pete; other fulfillment arrangements and costs are confirmed with the quote.

Send your staff uniform plan for a quote. Include the roles, garment ideas, quantities and required date, along with any parts you want help choosing.
