Start a school club shirt order with one adult organizer, one approved design and one size list. Choose the garment before collecting sizes, and give everyone a closing date for changes.
You can bring us the count you actually need. We will review the artwork, garments and method with you before you commit to an order.
Choose who can approve the order
Check your school or group’s process for artwork, spending and payment. Decide who will approve the school name, mascot, club wording and final mockup, and who can authorize the purchase.
Student ideas can come from several people. Send us one agreed version through the organizer who is handling the order. That person should collect corrections and confirm which version is final.
Collect sizes for the exact garment
Send families or members the chosen style and its size chart. Keep youth and adult size labels separate in the list; do not shorten both to “M.” If the group is choosing between two styles, keep those counts separate too.
Field | Example of what to record |
|---|---|
Order reference | A reference your organizer can match to the member |
Garment | The selected style and color |
Size label | Youth Medium or Adult Medium, written in full |
Quantity | Every garment requested, including an extra one |
Design group | Club design, advisor version or another approved artwork version |
Status | Confirmed, awaiting a reply or ready for the final order |
Set the size closing date before the date you plan to approve the print order. Ask the organizer to resolve missing replies and check the totals. A guessed size mix may leave you with shirts the group cannot use.

Group the pieces by design
Our screen printing minimum is 36 pieces per design. Those pieces can be split across sizes. Compatible styles and garment colors may combine when they share the same artwork, print size, ink colors and setup.
For example, 30 student shirts plus six advisor shirts may form one 36-piece group when they use the same confirmed print setup. Adding separate “Advisor” wording changes the request; send that version as its own design group for review.
Youth and adult garments also need a placement check. The artwork has to fit the selected items, so do not assume the same print size will work everywhere.
If your club needs fewer pieces, tell us. We offer DTF printing applied to garments and embroidery as well as screen printing. We will confirm the method, garment and price for the actual request.

Review the design as a group, then send one signoff
Check spelling, club name, school year and approved logo files before the organizer approves the mockup. Keep the main wording easy to read, and review it on the actual garment color rather than on a plain white screen.
Send the front, back and sleeve requests together with approximate artwork dimensions. If the artwork changes between groups or garment sizes, list the changes. We will review what can share a setup and what needs separate quoting.
Send any extra requirements with the first quote request so we can review them before you offer options to the group.
Work backward from the day the group needs the shirts
Give us the date the organizer needs the order in hand, which may be before a trip, performance, club photo or first meeting. Leave time to gather sizes, obtain the group’s approvals, review the mockup and arrange distribution.
Standard screen printing production takes 10–14 business days after mockup approval and payment. A quote request or an unfinished size list does not start that window. For a shorter deadline, ask us to confirm rush availability, the completion date and any rush fee first.
For an event with sponsor artwork or several handoff dates, the event shirt planning guide covers that extra coordination.
Keep the final list for distribution and the next order
Confirm who will receive the finished order and when members can collect it. Check the garments and counts against the approved list, mark each handout and keep a note of any uncollected pieces.
Save the approved design, garment style and final size totals for a future order. A later batch still needs its own price, availability and timing confirmed.
